Higher Productivity Through Increased Mobility

One of the first steps taken by ITworks during the implementation process was to configure a new hosted file server.  ”Their file server that was in place worked well, but we wanted to increase their productivity by being able to access their files from anywhere – not just in the office,” says Steven Taylor, President of ITworks.  With the hosted file server, the team at Jorge Castillo Design can travel between their two locations and work just as productively as if they were all in the same room together.  The new file server also allows the team to send very large files to their clients and partners.  ”We used to have to overnight a CD with files to people, or upload to their FTP.  Now we just send the attachment through the file server as a link to the file and they can click to download it at their convenience.  It’s much more efficient this way,” says Owner of Jorge Castillo Design, Jorge Castillo.

The introduction of a hosted file server was just the beginning.  A new central mail server was implemented giving each team member their own unique accounts that can be accessed from anywhere.  ”I love that I can check my mail from any random computer I sit in front of,” says Castillo.  Jorge Castillo Design quickly implemented Android smartphones to enable mobile access to their email and corporate files right from the palm of their hands.  ”I never realized that a cell phone could do so much.  I can check my email, work on documents, and send my clients attachments,” says Castillo.  ”The speed in which I can respond to my clients and send files over has dramatically increased.”

True Vendor Management

ITworks goes beyond computers and servers and works with business owners and decision makers to make positive changes throughout.  ”We worked with Verizon, AT&T, and Single Number Communications to reduce their spending on Voice and Data by a third, providing Jorge Castillo Design with the means to answer company calls from anywhere,” says Taylor.  ”I used to give out my office number, my cell phone number, and a fax number just for people to try to get in touch with me.  Now I just hand out a single phone number and people can reach me, or anybody else in my team just by selecting the appropriate extension from the menu,” says Castillo.  Jorge Castillo Design has increased their customer satisfaction by allowing customers to reach who they’re looking for on the first try.

“I never realized how much we could save on printing,” says Castillo.  Jorge Castillo Design may not print large quantities of pages, but they require large format prints that are of the highest quality.  ”We were paying over $300 a month for a multi-function printer that did way more than we needed it to just because it had large format printing and scanning capabilities,” says Castillo.  ”We worked with Jorge and his team to pick out some new printers and scanners that they could purchase instead of lease.  In their first 12 months of ownership they’ll have saved over $2,100, with a total of over $9,000 over the next three years,” says Taylor.  Jorge Castillo Design now can print multiple jobs all at once by upgrading to multiple printers.

Jorge Castillo no longer worries about what could go wrong with his business.  ”ITworks has everything synchronizing and backing up to the cloud.  If a catastrophe struck tomorrow it would be unfortunate, but business could continue running as usual,” says Castillo.  Jorge Castillo Design has several checks in place, from having their systems monitored for errors to having all of their data backed up with offsite storage.  ”If a company doesn’t have a Catastrophe Plan in place, they’re setting themselves up for failure,” says Taylor.
